Position Summary
Jannah Institute is seeking a dynamic, organized, and mission-driven Onsite Coordinator to oversee day-to-day campus operations at our Irvine, California location. This individual will play a vital role in supporting the administrative team, ensuring high-quality execution of JI programs and events, and serving as a key liaison between campus operations and senior leadership. The ideal candidate brings a blend of strong operational acumen, community engagement, and deep understanding of Islamic values.
This is an onsite role (20 - 25 hours per week) requiring flexibility around working hours to cater for evening or weekend programming.
Key Responsibilities
Operations & Administration:
- Supervise and support the onsite Administrative staff: responsible for onboarding, scheduling, supporting part-time onsite staff and volunteers, and performance reviews in coordination with the Executive Director.
- Manage the administration department to maintain efficient and effective workflows.
- Collaborate with the Executive Director and finance team to ensure proper financial oversight of onsite operations.
- Ensure that the CEO and instructors are adequately resourced and supported for all in-person classes and programs.
- Maintain onsite facility readiness and coordinate logistics for regular programming and events.
Event & Program Coordination:
- Lead the planning, coordination, and successful execution of all onsite JI events, including:
- Educational programs
- Graduation ceremonies
- Student recognition initiatives
- Community-based JI events
- Ensure appropriate staffing, including Teaching Assistants (TAs) and support volunteers, are in place for each event.
- May require light physical activities, driving to meet suppliers, or local partners. During events setup, depending on the number of volunteers it may require managing supplies, moving chairs, setting up tables...etc.
- Support on education programs where needed
Strategic Support & Communication:
- Serve as a local advisor to the Executive Director and CEO on:
- Strategic programming decisions
- Community partnership opportunities
- Local trends, risks, and resource allocation
- Provide regular updates and performance reports on campus operations, program impact, and community feedback.
- Track event outcomes and analyze data to inform future planning and improvements.
Community Engagement & Relationship Building:
- Cultivate and maintain strong relationships within the Orange County/Irvine community to enhance Jannah Institute’s presence and influence.
- Represent JI at community functions and foster a welcoming, values-aligned environment onsite.
Onsite Leadership & Problem-Solving:
- Act as the first point of contact for addressing and resolving any urgent or unexpected onsite issues.
- Promote a collaborative and supportive team culture while upholding the values and professionalism of Jannah Institute.
HR Support:
- Support Executive Director in HR efforts across the organization
Required Qualifications
- Education: Bachelor’s degree required
- Experience: Minimum of 5 years in operations coordination, administration management, or a related role
- Community Connection: Strong familiarity and network within the Irvine and broader Orange County community
- Strong understanding of Islamic values, community dynamics, and professional etiquette, with the ability to represent Jannah Institute authentically.
- Excellent interpersonal and communication skills, with the ability to build relationships, present Jannah Institute’s mission clearly, and inspire support.
- Highly organized, detail-oriented, and proactive, with strong project management and multitasking abilities.
- Experience in event planning and coordination, including managing logistics and working with various stakeholders.
- Strong writing and communication skills, including drafting emails, proposals, and donor correspondence.
- Ability to collaborate effectively with cross-functional teams, including marketing, finance, and leadership.
- Proficient in Google Workspace (Docs, Sheets, Calendar) and comfortable working in digital systems for tracking and communication.
- Flexibility to work evenings and weekends for events as needed.
